Outsourced Finance Office

Everything a Finance Department Does

Bookkeeping, billing, payables, payroll, and the filings that go with them — handled as one service for a flat monthly fee. We do the work. You approve it.

Most small businesses can't justify a full-time accountant, so the work gets split up. The owner does invoices at night. A part-time bookkeeper enters transactions. An outside CPA sees the whole picture once a year, in March, when it's too late to do anything about it.

We do all of it. One person handling the books, the billing, the payables, payroll, and the compliance filings — on a schedule, for a flat monthly fee. You're not managing anyone and nothing sits until tax season.

Pick the parts you need

Some businesses hand over everything. Some already have a bookkeeper and just need the close, the reporting, and the filings handled right. Both work.

The Books

Bank and credit card reconciliation, month-end close, general ledger, and monthly financial statements. A clean year-end package for whoever prepares your return.

Billing & Collections

Customer invoicing, progress billing and pay applications, lien waiver packets, collections follow-up, and deposits posted.

Payables

Bills entered and tracked, due dates managed, and a weekly payment run prepared with our recommendation on what to pay. Vendor records, W-9s, and 1099 tracking kept current all year.

Payroll

Processing and direct deposit, payroll tax deposits, quarterly filings, W-2s and 1099s, new employees set up, and retirement plan administration. Certified payroll for public work.

Compliance

Sales tax, highway use tax, unemployment rate reviews and claim responses, workers' comp and insurance audits, and correspondence with the IRS and the state.

Reporting & Forecasting

Cash flow forecasting, budget versus actual, job or department profitability, WIP schedules, and reporting packages for your bank or bonding company.

We write our own software

The repetitive parts of this work — matching transfers across accounts, filing documents, pulling the same reports every month — we've built tools for. That's how one person can run a full back office, and it's why we can take on work that would otherwise mean hiring someone.

If your business needs something that doesn't exist, we build it. Whatever we build for you stays running as long as you're a client, and it's included in your fee.

We prepare. You approve.

We handle

  • The books, the close, and the monthly reporting
  • Invoicing, collections, and payment runs prepared for approval
  • Payroll, tax deposits, and every filing that has a deadline
  • Documents prepared complete and ready for signature
  • Audits, notices, and correspondence with agencies and your bank

You keep

  • Approval and release of every payment
  • Signatures and certifications — on public work, that's what the rules require
  • Hiring, firing, and anything else that's an HR decision
  • Legal and insurance decisions — we'll tell you when you need your attorney or broker

Four steps

  1. 1

    Call or send a message

Tell us what you've got and what isn't working. Ten minutes is usually enough to know whether we're a fit.

  2. 2

    We look at your books

You get a straight answer about what needs fixing, what it would take, and what it would cost each month.

  3. 3

    We set it up

Cleanup if it's needed, systems connected, and a scanning and filing process so paper stops piling up on your desk.

  4. 4

    We run it

Weekly and monthly work on a schedule you can count on, and a call every month to go over where things stand.

What it costs

Back office work is a flat monthly fee. What it costs depends on how big your business is, how many accounts and jobs you're running, and how much of the list above you want handled.

Call and we'll walk through it. You'll get a number, not a proposal process.
